If you give us another person’s details, you must have authority to do so and should make this notice available to them.
4. How and why we use personal data

5. If you do not provide requested information
Some information is needed so that we can assess a trade application, provide a quotation, enter into a contract, manufacture an order, arrange delivery or meet a legal requirement. If you do not provide it, we may be unable to open or maintain an account, respond fully to your request or supply the relevant products or services.
We will make clear where information is required and where it is optional whenever reasonably possible.
6. Who we share personal data with
We may share personal data, where necessary, with:
- website hosting, software, email, form, account, customer support and IT service providers;
- payment processors, banks and providers involved in preventing payment fraud;
- carriers, delivery partners, warehouses and other businesses involved in fulfilling an order;

- a buyer, investor or professional adviser in connection with a proposed sale, reorganisation or transfer of all or part of our business, subject to appropriate safeguards.
Our service providers may use personal data only for the agreed purpose and must protect it appropriately. We do not sell personal data.
7. International transfers
Some of our service providers may store or process personal data outside the United Kingdom. Where this happens, we will use a transfer mechanism recognised by UK data protection law, such as UK adequacy regulations, the UK International Data Transfer Agreement or Addendum, together with any additional safeguards that are reasonably required.
You may contact us for more information about the safeguards used for a particular transfer.
8. How long we keep personal data
We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, tax, warranty, fraud-prevention and dispute-resolution requirements. Our normal retention approach is:
| Record type | Normal retention |
|---|---|
| Unsuccessful or incomplete trade account applications | 12 months after the final decision or last activity |
| General enquiries that do not lead to an account or order | 24 months after the enquiry is closed |
| Customer account, quotation, order and contract records | For the customer relationship and normally 6 years after the final transaction or end of the relationship |
| Invoices, payment and tax records | At least 6 years, or longer where the law requires |
| Complaints, warranty matters and legal disputes | For the life of the matter and the relevant legal limitation period |
| Direct-marketing records | Until you opt out or the information is no longer relevant; a minimal suppression record may be retained so that we respect an opt-out |
| Cookie, analytics and website security data | For the period appropriate to the cookie, service or security purpose, as described in our cookie controls or provider settings |
We may retain data for longer where a complaint, claim, investigation or legal hold makes this necessary. We may anonymise data so that it can no longer identify anyone and use that anonymous information for statistical or business purposes.
9. How we protect personal data
We use appropriate technical and organisational measures designed to protect personal data against accidental or unlawful loss, alteration, disclosure or access. These measures include access controls, account security, backups, software maintenance and limiting access to people and suppliers who need the information for their work.
